Terms and Conditions

  1. The Change and Cancellation Policies are part of these Terms and Conditions.
  2. Inform Incredible Perú Tours — IPT of any allergies or medical conditions you may have. It is necessary to be in good physical health, and if your health is questionable, you must consult a doctor regarding your trip to high-altitude locations, especially if you plan to undertake any trekking routes. If you are over 65 years old, you must provide us with an updated medical certificate.
  3. During the trip, if you wish to leave the group or the camping area for independent walks or excursions, you must inform the guide, and this will be entirely at your own responsibility. If you notice any issues with the guide’s service or other excursion services, please notify the guide immediately so that any problems can be resolved as soon as possible.
  4. The entrance ticket to Huayna Picchu Mountain is not included in any excursion. If you wish to visit it, request your reservation and pay as soon as possible, as availability is limited (only 400 people per day). To do this, you must send your request to: info@incredibleperutours.com. Once we confirm your reservation, you must immediately pay USD 75.00 per adult or USD 40.00 per student, and then send us a copy of your payment. This way, on the day of your visit to Machu Picchu and after your guided tour, you will be able to ascend Huayna Picchu Mountain at approximately 10:30 am. This service is only offered to our clients and is applicable as an extension to a reserved excursion with us.
  5. You must comply with the Payment System and Dates, especially with your final payment, which must be made up to 1 day before your tour departure date, using any of the indicated payment methods. If you wish to make this final payment with a Credit or Debit Card — VISA, you will be responsible for the 5% transaction tax.
  6. If you wish to obtain the student rate, you must send us an email at the time of your reservation, attaching a scanned copy of your valid ISIC card. This is the only valid card to obtain the student entrance ticket. The Ministry of Culture of Peru regulates and controls the use of the card in archaeological monuments and does not accept other types of cards, such as the youth traveler card or the international teacher card.
  7. If you do not show up on the date, place, and time of the start of your excursion (No Show), we will not be responsible for your absence, whether due to illness, flight delays or cancellations, or any other reason beyond our control. The costs of the excursions are non-refundable because services such as entrance tickets to archaeological monuments, Inca Trail permits, porters, cooks, bus tickets, train tickets, meals, and other services are reserved and paid for at the time of your reservation.
  8. You must carry your original passport and the physical ISIC card (if you are a student) on all excursions booked with us. If you do not bring the original passport used for your reservation, the checkpoint will cancel your permit and deny you entry to the site. If for any reason the passport number used to book your excursion does not match the passport number you provide at the checkpoint, you will lose your trip. If during this time you have processed a passport change, you must send us an email as soon as possible with the Subject: Passport Change, attaching a copy of the current passport, so we can process the necessary procedures. Do not forget to bring both passports (the old and the new) to validate the change of passport number. Remember that the sites to be visited are regulated by the Ministry of Culture and not by our company.
  9. For excursions that include the Inca Trail, no date changes are allowed, as this is not possible after a dated permit has been processed. These permits are non-transferable and non-refundable. The total deposit will be forfeited. Please note that we do this because the Ministry of Culture prohibits us from reselling your reserved space.
  10. For excursions that arrive at Machu Picchu and include a return train to Cusco, you should know that the return schedule depends on the availability of seats offered by the train company. We prefer return trains between 3:30 pm and 6:30 pm, but these must have enough seats available to accommodate the entire group. Generally, this is not a problem except on special days such as weekends or during important holidays like Inti Raymi, Independence Day, and Holy Week. The train company confirms return train times from Aguas Calientes for Adventure Travel Agencies only a few days before the trip. The return train schedules offered in our itineraries and programs are for reference only and may be subject to changes between 1:00 pm and 9:50 pm. These trains usually require a private bus connection from the Ollantaytambo Train Station to the city of Cusco, which is provided by us, Incredible Perú Tours – IPT.
  11. If you become ill or injured during the trip and cannot continue, there will be no refund of the payment made. In this case, we will provide someone to accompany you back to the nearest place where you can receive emergency medical assistance. If the situation requires a helicopter air rescue, in addition to the costs of all medical assistance and other expenses generated by the evacuation, these will be fully covered by the traveler. If you have recovered and the dates coincide with your group’s schedule, we will help you reunite with your group in Machu Picchu, and you will resume your journey from that moment. However, we will provide you with a document certifying the loss of the trip, which you can present to your insurance company.
  12. Our travel company is not responsible for additional costs due to unfavorable weather conditions, natural disasters, strikes, accidents, illness, injury, loss of personal belongings, etc. It is the customer’s responsibility to have insurance that covers these types of events. We reserve the right to modify or cancel the program due to any of the aforementioned conditions.
  13. For excursions that include visits to sites declared by the Peruvian Government as risk or emergency areas and that are closed unexpectedly for safety reasons, our travel company will replace your trip with an alternative excursion for the same dates, according to the duration of the contracted excursion.
  14. We do not include travel insurance, so we recommend that you purchase travel insurance in your country of origin, which includes coverage under certain circumstances, covering the loss of deposit payments or cancellation. Remember that there are no refunds for cancellations of unused services.
  15. Incredible Perú Tours will do everything possible to provide you with a safe and enjoyable trip, but we will not accept any responsibility for damages, accidents, injuries, loss of luggage, expenses, or other costs due to delays or any other cause. This also applies to any person or property in relation to any service provided by our intermediaries, resulting directly or indirectly from acts of force majeure. If this occurs, our travel agency will provide you with a document explaining the cause of the trip cancellation so that you can process the corresponding claims with your insurance company.
  16. During the visit to the Historical Sanctuary of Machu Picchu – Machu Picchu National Archaeological Park, visitors play a fundamental role in the conservation and protection of the area, as well as in the exercise of their individual responsibility for the preservation of this heritage, for the benefit of present and future generations; Therefore, you must strictly comply with the Visiting Regulations.)
  17. By purchasing one or more excursions through this channel, you agree and accept these Terms and Conditions.

CHANGE AND CANCELLATION POLICIES

Based on our experience in tourism, we know that some of our travelers, for various reasons, do not end up traveling. Therefore, in our effort to assist you and provide good service, we have Change and Cancellation Policies that offer the best solution and support for you.

All changes and/or cancellations will be applicable as follows:

CHANGES AND CANCELLATIONS MADE BY THE CUSTOMER:

  1. Changes and cancellations made by customers must be submitted in writing as soon as possible via email to our Travel and Tourism Agency.
  2. If you believe it is necessary to cancel your confirmed trip. Wait!… We inform you that it is possible to transfer your reserved space to another person up to 3 days before the excursion. (This transfer is not applicable for routes that include the Inca Trail).
  3. If on the day of your trip, for some reason, you cannot undertake your confirmed tour, such as the Inca Trail or any other trip to Machu Picchu… Do not think all is lost. We will work with you in the best possible way to help you change your trek for a train trip to Machu Picchu, using your permit and purchased entrance. This way, you will not miss visiting this Wonder!!!
  4. If the above case applies, the customer is responsible for the expenses and payments generated by changing the trek to a train trip, including administrative fees, hotel night payments if the tour requires it, bus tickets, and train tickets.
  5. For trip cancellations for routes that include the Inca Trail, where you have already made the respective prepayment. The deposit made as prepayment is non-refundable, as this amount is used to pay for all necessary reservations for the service.
  6. For trip cancellations made by the customer that are 100% Paid, penalties and refunds will apply depending on the Cancellation Date before the Tour Start Date, as specified in the table below:

  • All corresponding refunds will be made by our company directly to your credit/debit card or bank account, deducting the respective percentage according to the Cancellation Date.

CHANGES AND CANCELLATIONS MADE BY THE COMPANY:

  1. We will make every necessary effort to carry out the package you have purchased. However, we reserve the right to reduce or modify the itinerary, change or substitute activities, hotels, meals, or transportation when we deem it necessary.
  2. In the above case, none of the modifications and/or changes made by our Company will affect the price of the package. Rest assured that you will not have to add any money.
  3. Our company is not responsible for expenses or monetary losses due to canceling or suspending the trip at any time for a reason that, in our opinion, may compromise the quality of the trip or the safety of our travelers due to circumstances beyond our control, such as insecurity: strikes, stoppages, riots, or other causes generated by nature: landslides, collapses, and others.
